Terms & Conditions

These Terms & Conditions apply to the use of the CandlesVela website and to quotations, samples, customized products, and orders supplied by CandlesVela to business customers.

By requesting a quotation, ordering samples, or placing an order with CandlesVela, the buyer acknowledges and agrees to these terms, together with any specific terms stated in the applicable quotation, proforma invoice, order confirmation, or other written agreement.

1. Quotations & Pricing

All quotations are valid for 15 calendar days from the date of issue unless otherwise stated in writing.

Quoted prices may be subject to adjustment before order confirmation due to changes in raw material costs, fragrance or packaging costs, exchange rates, freight charges, or other significant cost fluctuations.

The final price, product specifications, quantities, packaging requirements, shipping terms, and other commercial conditions will be confirmed in the applicable quotation, proforma invoice, or order confirmation.

Website product prices, specifications, images, and descriptions are provided for general reference and do not constitute a binding commercial offer unless expressly confirmed in writing by CandlesVela.

2. MOQ & Order Confirmation

Minimum Order Quantity (MOQ) varies depending on the candle type, vessel, wax, fragrance, packaging, customization requirements, and production process.

The applicable MOQ will be stated in the quotation or order confirmation for each project.

Where commercially feasible, lower MOQ may be available for selected products or customized projects, subject to additional costs or other agreed conditions.

An order becomes effective only after the product specifications, pricing, quantities, payment terms, and other relevant conditions have been confirmed in writing by both parties and the required payment has been received.

3. Samples & Custom Development

Customized samples are available for product development and approval.

Sample costs and shipping fees are normally paid by the buyer. For eligible bulk orders, the sample cost may be credited against the final order value as agreed in the quotation or order confirmation.

Sample lead times depend on the product design, fragrance, wax, vessel, packaging, and level of customization.

Because candles are handmade or manufactured using natural and variable materials, minor differences in color, surface appearance, fragrance intensity, weight, dimensions, or other characteristics may occur between samples and mass production. Any agreed production specifications and acceptable tolerances will take priority over visual differences that do not materially affect product performance.

4. Payment Terms

Unless otherwise agreed in writing, bulk orders require a 30% deposit before production and the remaining 70% balance before shipment.

Sample orders and initial orders may require 100% payment before production.

Other payment arrangements may be accepted for qualified customers and must be confirmed in writing before production begins.

Production will normally begin after the required deposit or full payment has been received and all necessary product specifications, artwork, and approvals have been confirmed.

Bank charges, payment processing fees, and other transaction costs are normally borne by the party responsible for them unless otherwise agreed.

5. Production & Lead Time

Standard production lead time is generally around 45–60 working days after the deposit is confirmed and all required specifications, artwork, samples, and approvals have been finalized.

During peak production periods, lead time may be around 60–75 working days.

Actual lead time may vary depending on order quantity, product complexity, customization requirements, raw material availability, packaging development, production capacity, quality inspection, and other project-specific factors.

Any estimated production time provided by CandlesVela is a reasonable estimate rather than a guaranteed delivery date unless a specific delivery commitment has been expressly agreed in writing.

Production schedules may be adjusted when delays result from circumstances beyond CandlesVela’s reasonable control.

6. Product Specifications & Quality Inspection

CandlesVela carries out quality inspections during production and before shipment in accordance with the agreed product specifications and quality requirements.

For customized products, the approved sample, specification sheet, artwork, or other written production requirements will serve as the reference for mass production.

Due to the nature of candle manufacturing and the use of wax, fragrance oils, natural materials, glass, metal, and other components, reasonable variations may occur in areas such as color, texture, surface finish, fragrance appearance, weight, dimensions, and burn performance.

Such variations will not be considered manufacturing defects when they fall within the agreed specifications or reasonable production tolerances.

If a material quality issue is attributable to CandlesVela’s manufacturing process, the buyer should notify CandlesVela promptly and provide relevant supporting evidence, such as photographs, videos, inspection records, quantities affected, and other information reasonably required for review.

After investigation and confirmation, CandlesVela will discuss an appropriate remedy with the buyer, which may include replacement, credit, rework, or another mutually agreed solution.

7. Shipping, Delivery & Claims

CandlesVela can arrange international shipment by sea or air according to the agreed shipping terms and delivery requirements.

Shipping costs, freight charges, customs duties, import taxes, destination charges, and other applicable costs will be allocated according to the agreed Incoterm or commercial terms stated in the quotation or order confirmation.

Unless otherwise agreed, the buyer is responsible for providing accurate consignee, delivery, customs, labeling, and import information required for shipment.

The buyer should inspect the goods promptly after receipt.

Any visible shortage, transportation damage, or other delivery-related issue should be documented and reported to CandlesVela and, where applicable, the logistics carrier within the relevant claim period.

Transportation damage occurring after shipment or while the goods are under the carrier’s responsibility may need to be claimed against the relevant logistics provider or insurer, depending on the agreed shipping terms and Incoterm.

8. Custom Branding & Intellectual Property

The buyer is responsible for ensuring that all trademarks, logos, artwork, packaging designs, product names, photographs, text, and other intellectual property supplied by the buyer are legally authorized for use.

The buyer represents that it has the necessary rights and permissions to provide such materials to CandlesVela for manufacturing and packaging purposes.

CandlesVela will use buyer-provided branding materials only for the agreed manufacturing, packaging, and fulfillment purposes and will not knowingly use or reproduce them for unrelated customers without authorization.

CandlesVela will not knowingly resell a buyer’s private-label product using the buyer’s trademarks, branding, or proprietary packaging to third parties.

Any molds, tooling, packaging structures, formulas, designs, or other intellectual property developed specifically for a project will be subject to the ownership and usage terms agreed between the parties.

9. Order Changes, Cancellation & Force Majeure

Once production has started, changes to product specifications, quantities, packaging, fragrances, artwork, or other confirmed order details may result in additional costs, revised lead times, or both.

Order cancellation requests must be submitted in writing. If production, material purchasing, packaging production, or other project work has already commenced, the buyer may be responsible for costs that have already been incurred or committed, as agreed under the applicable order terms.

CandlesVela will not be responsible for delays or failure to perform caused by circumstances beyond its reasonable control, including but not limited to natural disasters, fire, epidemic or pandemic restrictions, government actions, war, civil unrest, strikes, major transportation disruptions, port congestion, supply shortages, power interruptions, or other force majeure events.

Where such circumstances occur, CandlesVela will make reasonable efforts to notify the buyer and minimize the impact on the order.

10. Website Information & General Terms

CandlesVela makes reasonable efforts to keep website content accurate and up to date. However, product images, descriptions, dimensions, colors, fragrances, specifications, production capabilities, and other website information may be updated or changed without prior notice.

Website content is intended primarily for general product and sourcing information. Final commercial terms will be determined by the applicable quotation, proforma invoice, order confirmation, or other written agreement between CandlesVela and the buyer.

If any provision of these Terms & Conditions conflicts with a specific written agreement or confirmed order term, the specific written agreement or confirmed order term will prevail for that transaction.

CandlesVela reserves the right to update these Terms & Conditions from time to time. The latest version published on this page will apply to future website use and transactions, subject to any specific terms already agreed in writing.
